Documentation
Everything you need to get a workspace running. Start here, then work through the guides as you need them.
Getting started
A Systemly account has three layers. Your organisation is the business or agency. Inside it are workspaces — one per client, or just one if you are running your own business. Everything else, contacts through to scheduled posts, belongs to a workspace and is never visible from another.
- 1. Create your workspace. You get one automatically when you sign up. Agencies add one per client from the workspace switcher.
- 2. Connect a social account. Social → Accounts, then Connect on the platform you want. You are sent to that platform to approve access, and back again.
- 3. Write a post. Social → New post. Pick the accounts, write the caption, add media. Selecting more than one platform gives you a master post with per-platform overrides.
- 4. Schedule or publish. Leave the time blank to publish immediately, or pick one to queue it. Scheduled posts are published by a background worker, not by your browser — you can close the tab.
How scheduling works
A scheduled post is a queued job. A worker checks every 60 seconds for anything due, so a post goes out within about a minute of its scheduled time. Times are shown in the timezone set under Settings, not the server’s.
Each destination succeeds or fails on its own. If a post goes to three platforms and one rejects it, the other two still publish and only the failed one shows an error — with the platform’s own message, not a generic one.
AI usage
Paid plans include a monthly AI usage allowance, which resets on the 1st. Usage is only consumed when a feature runs on Systemly’s own AI key — connect your own provider key under Settings → AI assistant and nothing is metered, because you are paying that provider directly.
You can buy extra AI usage under Settings → Usage & limits. Paid extra usage never expire and are only drawn on once the monthly allowance is spent, so a top-up bought today is still there next month.
Roles and access
There are five roles — Owner, Admin, Manager, Staff and Client — at both organisation and workspace level. Admins can also grant or revoke individual permissions per member, so a client can be given exactly one screen without being given the rest.
Platform limits worth knowing
Some behaviour is set by the networks rather than by Systemly:
- Instagram requires a Business or Creator account linked to a Facebook Page. Personal accounts cannot publish through any API.
- TikTok and Instagram cannot delete a published post through their API. Systemly will say so rather than offer a button that fails.
- TikTok requires the audience to be chosen explicitly before publishing, and caps photos at 1080px on the shorter edge — Systemly resizes for you.
