CRM & pipelines
Contacts
Records, custom fields, tags and notes.
One record for each person
A contact is the workspace record that connects a person to their messages, deals, bookings, payments, form submissions, tags, and activity. Contacts never cross workspace boundaries, so the same email address can exist independently in different client workspaces.
Create a contact
- Open CRM and select New contact.
- Enter a first name. It is the only required field.
- Add the available email, phone, business, lead source, owner, status, and tags.
- Add a general note if the information belongs on the record rather than its timeline.
- Select Create contact.
Email addresses are stored in lowercase and must be unique within the workspace. Phone numbers accept common international punctuation but are stored as entered. A workspace member can be selected as the contact owner.
Contact statuses
Lead
A new or unqualified prospect.
Active
A person currently being worked or engaged.
Customer
A contact who has become a customer.
Unqualified
A lead that is not currently a fit.
Archived
A record kept in the CRM but removed from active work.
Status is a workspace classification, separate from a deal's pipeline status. You can change it manually, in bulk, or through a configured automation.
Find and organise contacts
Search checks first name, last name, email, phone, and business. Filters narrow the list by status, tag, owner, and lead source. Columns can be sorted by name, status, date added, or last activity, and the list is paginated for larger workspaces.
Select rows to add or remove a tag, assign or unassign an owner, change status, or delete several contacts at once. Selection clears when you change pages so an action is not applied to contacts you can no longer see.
Read the contact record
Timeline
The latest notes and recorded events, grouped by day.
Deals
Linked opportunities, their pipeline stages, values, and expected close dates.
Appointments
The ten most recent bookings linked to the contact.
Payments
The ten most recent payment records and their outcomes.
Details
Contact methods, location, owner, lead source, and the general notes field.
Value
The sum of open deal value and won revenue linked to this contact.
Tags can be toggled directly from the contact record. Open a deal from the Deals tab to continue working it on the pipeline board.
Delete a contact
Deleting removes the contact from CRM lists and future selection while retaining the underlying record for reporting history. It requires the Delete contacts permission and a confirmation. Disconnect or remove related provider data separately where required.
Permissions and plan limits
Viewing, editing, deleting, importing, and exporting contacts are separate permissions. Buttons that a member cannot use are hidden. Creating and importing contacts also respect the workspace's subscription contact limit.
