Calendar & forms

Calendar sync

Importing busy time and mirroring bookings to Google or Outlook.

Supported calendar connections

Google Calendar

Imports busy time and event names from the primary and selected calendars. Systemly appointments are written to the primary calendar.

Microsoft Outlook

Imports Outlook events and writes Systemly appointments to the account's calendar through Microsoft Graph.

Calendly

Imports scheduled events as busy time. This connection is read-only, so Systemly appointments are not sent to Calendly.

Cal.com

Imports bookings as busy time. This connection is read-only, so Systemly appointments are not sent to Cal.com.

Connect your calendar

  1. Open Calendar → Sync in the client workspace whose availability you want to protect.
  2. Select the provider and complete its consent screen.
  3. Return to Systemly and check that the connection is Active.
  4. Select the refresh icon to request an immediate sync when needed.

What syncs in each direction

  • Provider to Systemly: external events become busy blocks used by availability and shown in the Schedule month view. Event titles appear when the connected account can read them; free/busy-only access appears as Busy.
  • Systemly to Google or Outlook: a hosted appointment is created, updated, or deleted in each active writable connection owned by the appointment host.
  • Systemly to Calendly or Cal.com: no events are written. These feeds only protect the host from double-booking.

Provider webhooks request fresh data after changes, and a background sweep also refreshes stale connections. The Sync tab shows the last successful time and any provider error.

Google calendar selection and privacy

Systemly reads the primary calendar and calendars marked as selected in Google Calendar. If Google grants full event access, the event title is shown in the Systemly schedule. If a shared calendar grants only free/busy access, Systemly can block the time but cannot read the name.

To include or remove a secondary calendar, change whether it is selected in Google Calendar and run Sync now. New Systemly appointments continue to be written to the primary calendar.

Reconnect and troubleshoot

Connect button is disabled

The Systemly deployment does not yet have OAuth credentials for that provider. An organisation administrator must configure the integration first.

Expired

The provider rejected the saved grant or its encrypted credentials are no longer readable. Disconnect and authorise the account again.

Error

Open the connection to read the provider message, correct its calendar access, then use Sync now. A single unreadable Google calendar is retried as free/busy-only where possible.

Event is missing

Confirm it is on the connected account, that Google has the calendar selected, and that the event overlaps the tracked scheduling window. Then run Sync now.

Disconnecting removes that provider's busy blocks from Systemly. It does not delete the original events in the provider.
