Scheduled briefings

Ask the assistant a question on a schedule and have the answer emailed.

What a briefing is

A briefing is a question you ask the assistant on a schedule, such as “Every Monday, tell me which deals went quiet.” When it is due, the assistant looks through the workspace, writes an answer, and emails it to the people you chose.

Briefings live in AI Studio under Briefings. Creating and editing them needs the Configure AI permission, which Owners and Admins have by default. A workspace can have up to 20.

Create a briefing

  1. Open AI Studio, select Briefings, then select New briefing.
  2. Start from one of the suggestions, or give the briefing a name and write what you want to know, as you would ask a person.
  3. Choose when it runs, such as Every Monday at 8am or Every weekday at 8am, and the timezone it follows.
  4. Add up to ten email addresses under Email it to, then select Create briefing.

The three suggestions are Deals gone quiet, Last week in numbers, and Unanswered messages. Each is a starting point; edit its wording to suit the business.

A briefing can only read

Nobody is watching when a briefing runs, so it cannot change anything. It can look up contacts, deals, conversations, bookings, posts, notes, and other records with the read access of a Manager, but every tool that would create, edit, send, or delete is refused. This holds even when Let the assistant make changes is on for the workspace.

If you want something done as a result, read the briefing and ask the assistant in chat, or build an automation.

Run, pause, edit, and review

  • Select Run now to run a briefing immediately and see the answer on the page.
  • Use the switch beside a briefing to pause it. A paused briefing shows Paused, is not sent on its schedule, and can still be run by hand. Turn the switch back on to resume.
  • Resuming does not send the runs missed while paused. The next one goes out at its next scheduled time.
  • Select a briefing to edit it, or delete it to remove it for good. Answers already sent are unaffected.
  • Each briefing shows its last answer and when it ran. With no email addresses, the answer is kept on the page instead of being sent.
  • If a run fails, for example because no AI provider is available, the briefing shows Last run failed with the reason. The next scheduled run tries again.

Emails are sent from the workspace, signed with the workspace name, with the briefing's name as the subject. Each run uses AI usage, or your own provider key, the same way a chat message does. See Usage and limits.
