Inviting people

Invitations, accepting them, and removing access.

Send an invitation

  1. Switch to the client workspace and open Team.
  2. Select Invite someone and enter the person's email address.
  3. Choose This workspace only and a workspace role, or Agency-wide and an organisation role when that option is available to you.
  4. Select Send invitation. Systemly emails a link to that address.

Organisation Owners and Admins can send invitations. You can only grant roles below your own authority. A workspace-only invitation also gives a new person basic organisation membership; it does not open the organisation's other client workspaces. An Agency-wide Member still needs a separate workspace invitation, while an Agency-wide Owner or Admin can reach all of them.

Accept an invitation

The link remains valid for seven days. A new user opens it, enters their name and password, and accepts. Someone with an existing Systemly account signs in and accepts with the same email address that received the invitation. A signed-in account with a different email cannot use that link.

After acceptance, a workspace invite opens that workspace. An organisation-only invite adds the person to the organisation but does not create a direct workspace membership unless their organisation role already grants access everywhere.

Manage pending invitations

The Team page lists pending invitations for the current workspace and organisation-wide invitations, with the recipient, role, inviter, and expiry. Select Revoke to invalidate a link. If an invite expires, send a new one. Sending another invitation to the same address and destination replaces the earlier pending link.

Change or remove access

On Team, change a lower-ranked member's workspace role or use the remove button to take them out of that workspace. Removal takes effect immediately, but past activity remains. It does not remove their organisation membership or access to other workspaces. Organisation Owners and Admins retain their implicit access, so removing a direct membership alone is not a way to exclude them from a workspace.

You cannot remove yourself or someone at or above your workspace role from the Team screen. For finer access changes, see Per-member permissions.
