Pipelines

Stages, opportunities, drag-and-drop and weighted forecasting.

Track deals on a stage board

A pipeline is a workspace-specific board for opportunities. Each column is a stage and each card is a deal. The board keeps value, ownership, contact, expected close date, and sales progress together without changing the contact's separate CRM status.

New workspaces start with New Lead, Contacted, Qualified, Quote Sent, Won, and Lost stages. Their default likelihoods range from 10% through 100%.

Create a deal

  1. Open Pipeline and select New deal, or use the plus button on a stage.
  2. Enter a deal name and optional value.
  3. Select its stage, linked contact, owner, expected close date, and source.
  4. Add notes when useful, then create the deal.

A linked contact and owner are optional, but they must belong to the current workspace. The deal uses the workspace currency. Creating a linked deal also adds an entry to the contact's activity timeline.

Move and order deals

Drag a card to another column to change its stage, or drag within one column to set its order. The board updates immediately and then confirms the change with the server. If the save fails, Systemly refreshes the board from its stored state.

Moving into a stage marked Won sets the opportunity to Won and records its close time. Moving into a Lost stage does the same for Lost. Moving it back to a normal stage reopens it. Stage changes are recorded in history, added to a linked contact's timeline, and can trigger automations.

Understand pipeline totals

Open

The full value of deals in stages that are neither Won nor Lost.

Weighted

Open stage value multiplied by that stage's likelihood percentage.

Won

The value of deals currently in stages marked Won.

Deal count

All active deals on the selected pipeline, including settled stages.

Weighted value is a forecast, not recognised revenue. Set realistic stage likelihoods and use payment reporting for money actually received.

Configure stages

Members with Manage pipelines permission can open Edit stages to rename, recolour, and reorder stages; set a likelihood from 0% to 100%; and mark a stage as Won or Lost. A pipeline needs at least one stage and supports up to 20.

  • Stage names must be present and unique within the editor.
  • A stage cannot be both Won and Lost.
  • A stage that still contains deals cannot be deleted.
  • Move every deal elsewhere before removing an occupied stage.

Use multiple pipelines

Create another pipeline when a sales process genuinely needs different stages, such as new business and renewals. Each new pipeline starts with the default stage set and can then be customised. Use the pipeline selector above the board to switch between them.

Edit or delete deals

Select a deal card to edit its value, stage, linked contact, owner, expected close date, source, or notes. Deleting a deal removes it from active pipeline views while preserving historical records used by the system.

Move and edit deals

Create, edit, reorder, move, and delete opportunities.

Manage pipelines

Create pipelines and configure their stage structures.

Pipeline permissions are independent from contact permissions. A member may be able to see a deal board without being allowed to edit the underlying contact.
